Eligibility: Bachelor’s degree preferred; 10+ years of experience as an Executive/Administrative Assistant supporting senior leaders.
Role Overview:
Provide high-level administrative and coordination support to the Director, Global Affairs, and the Director, Business Development – India. This role requires organization, discretion, communication excellence, and multitasking in a fast-paced, dynamic, and cross-functional environment with global stakeholders.
Key Responsibilities:
- Manage calendars, scheduling, and meetings across regions and time zones.
- Coordinate domestic and international travel arrangements.
- Process expense reports, travel claims, vendor invoices, and equipment requests.
- Plan and organize internal and external events, including logistics, venues, invitations, gifts, and programming.
- Maintain digital and physical filing systems; track vendor payments.
- Serve as liaison between internal teams and external partners.
- Prepare presentations, reports, and documents (PowerPoint, Google Apps).
- Prioritize and handle multiple requests with speed, accuracy, and confidentiality.
- Provide support for team off-sites and internal events, including vendor negotiation and budget management.
- Adapt to ad hoc projects and urgent requests as needed.
Skills and Qualifications:
- 10+ years of executive/administrative assistant experience, supporting multiple leaders.
- Strong verbal and written communication in English.
- Skilled in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
- Proven ability to manage sensitive/confidential information with discretion.
- Strong organizational, time management, and multitasking skills.
- Experience with event planning, vendor negotiation, and invoice management.
- Ability to work independently, prioritize effectively, and thrive in a fast-paced, global environment.
